Document delivery options

With a PDF that has text or a Word file, EZDocuAI prepares the document in several ways and you choose which one to translate and deliver. You'll see them in Review, at the top, under Choose format: Option 1, Option 2, Option 3 and, if you applied a format, a button with its name, which is Option 4.

The four options

Review · Choose format and preview

OptionWhat it isWhen it appears
Option 1The PDF converted into an editable Word file, with each block in its place. You edit it as you would in WordPDF with text or Word
Option 2The document rebuilt as text. Logos, seals and signatures become notes, such as [Seal: …]In almost every document. For scans, photos and handwritten documents it's the only one
Option 3Like Option 2, but with the original's real images (logos, coats of arms, photos) in their placePDF with text or Word, if the original has images
Option 4 (with the format's name)Option 2 with your format templateIf you turned on Apply a format when preparing the order

A few details:

  • With a format on a PDF with text, you see Option 1, the format's option and, if there are images, “format name + images”. Options 2 and 3 aren't shown.
  • On a scan with a format, you choose between Option 2 and the format's option.
  • If you click Continue without it in the “This looks like a scanned image” window, the text is placed over the scanned image and there are no options to choose from.
  • In Option 3, an image that covers text in the original isn't placed: its note stays instead.
  • Notes go in square brackets or braces depending on your Visual element notation, in Settings → Profile.
  • The options are the same in Layout mode.

Everything about templates is in Formats.

How to choose

  1. In Review, click each option under Choose format and compare them.
  2. Make your corrections in the option you're going to deliver: each one keeps its own changes, and what you correct in one doesn't carry over to the others.
  3. Click Continue to Translation. The option you have selected is the one that gets translated.

The order remembers which option you left on screen: if you come back to it, it returns to that one.

Option 1 keeps scanned pages as images and doesn't translate text that's inside an image. Before delivering, we check the document page by page: if any page would be left untranslated, you'll see Some pages are not translated, with Go back and review or Deliver anyway. If a document has pages like that, choose Option 2 or 3 in Review, before translating: those do transcribe and translate those pages.

When finishing: format and output options

Finish Order · export format and output options

When you're done, click Finish Order. In the window:

  • Export format: PDF or DOCX. A scan processed without Manuscript mode comes out as a PDF.
  • Output options (they don't appear in Layout mode):
ToggleWhat it does
Attach original documentMerges the original into the same file, At the beginning or At the end. PDF only, and only if the original is a PDF or an image. Off by default
Include CertificateAdds the certificate as the last page. On by default; it requires the “Add certificate when finalizing” permission
Digital signature & protectionPDF only. Turn it off if you'll sign with your token
Human Verified sealPDF only

Click Download PDF or Download DOC. If your role can't finish orders, you'll see Send for review.

With the traducción pública argentina template, the Argentine sworn (public) translation, no certificate is added: its closing formula certifies the translation.

The PDF contains real text

In options 2, 3 and 4, the PDF is printed with real text, not as a picture of the page: you can select, copy and search for words. The photos, logos and seals in Option 3 are still images. Option 1 comes from its Word file, which is already editable text.

There are two exceptions: a scan processed without Manuscript mode comes out as an image, and a page that doesn't fit on its sheet may come out as an image so it isn't distorted.

Order details · original file and translated document

If you delivered a PDF and later need the Word file:

  1. Go to Orders and click the order.
  2. Under Translated Document, click Download Word, next to View.

It's the same Word file that Finish Order gives you in DOCX, with only the translation: no certificate or attached original. The first time it takes a few seconds (“Preparing the Word file…”). It doesn't change the order's status or its credits. If the order's files were deleted, the button doesn't appear and we let you know.

Translator's note

When you click Continue to Translation, a window may open before translating, which you confirm with Translate. If it warns you about Repeated information (the same detail in several languages or scripts) and you choose Keep just one, Add translator’s note may appear. It's off by default. If you turn it on, we suggest a text you can edit; it goes at the end of the document, in the target language. If you delete it, no note is added.

FAQ

Why don't I get Option 1? Because the original is a scan, a photo or a handwritten document: there's no Word file to extract. Work with Option 2.

Why don't I see Option 3? It only appears if the original is a PDF with text or a Word file with images that can be placed. It also doesn't appear if you applied a format: you'll see “format name + images” instead.

Can I deliver the original together with the translation? Yes: when finishing as a PDF, turn on Attach original document and choose At the beginning or At the end.

I already delivered as a PDF. How do I get the Word file? Open the order and click Download Word, next to View.

Does switching options erase what I corrected? No, but each option keeps its changes separately: make your corrections in the one you're going to deliver.
