Orders

Formats: format templates and Option 4

A format is a template that decides how your translation comes out on paper: page size, margins, font, header and footer, page numbering, filler dashes and closing formula. You choose it when you prepare the order and, in Review, it shows up as one more option for the document, Option 4, with the format's name. If you don't choose one, the document comes out as usual.

Where to find them

Format templates · My templates and EZDocu templates

Go to Formatting, in the side menu. The page is called Format templates and has two parts:

  • My templates: your account's templates, the ones you can edit.
  • EZDocu templates: the ones that come built in.

You can search with Search formats… and filter by General, Certified or Court.

The Formatting entry is in the account owner's menu. People invited to the team don't have it, but when they prepare an order they see the account's pinned formats.

The EZDocu templates

EZDocu templates · Argentine public translation

They follow real standards: traducción pública argentina, the Argentine sworn (public) translation (CTPCBA); Spain's sworn translation; Peru's certified translation; and pleading paper for California courts. There's also a simple one, with no standard, for starting your own. The ones based on a standard carry the ✓ Verified badge. None of them can be edited directly; to use one:

  • Add to my menu: creates your copy with the same name, already pinned. The card then says ✓ Already in your menu.
  • Duplicate: creates a “(copy)” and opens it in the editor.

Your copy can be edited, but it no longer carries the badge. The Argentine one has its own article: Traducción pública argentina (CTPCBA).

Create or edit your template

  1. New template: you start in the editor.
  2. Upload your Word: drag in a .docx of up to 20 MB. In Here is what your Word contains you see what was read and choose Open in the editor or Save as is. The file is only used to read the format and isn't kept.
  3. Edit, on one of your templates.

The Live preview shows the result as you go; with the Ruler you drag the margins. Once the template is saved, Sample Word downloads a sample Word file. When you're done, click Save.

What the document takes from the template

In What the document takes from this template you choose how much the template controls:

OptionResult
Header and footer onlyThe original's font, tables and pages are kept
Header, footer and paperIt also applies its paper size and margins, without changing the number of pages
Full formatThe template controls everything. This is the starting option
CustomFor each section you choose Original or Custom

Custom isn't a separate template: it's this fourth option. The original's margins are only measured in digital PDFs; for scans, the template's margins are used.

Header, footer and page numbering

  • Turn on Header on pages and choose On which pages: All, First only or All but the first. The same goes for the Footer.
  • They're written with the same editor as the translation, with images and tables: that's how you build your letterhead with your logo.
  • To number pages, turn on Page number in the header or Page number in the footer. Choose the alignment, the Format (1, 2, 3, Page 1 of N or 001, 002) and Start at. The number is added automatically on the page, in the PDF and in the Word file.
  • Pleading format: Number the lines (court format), with Lines per page and Vertical rule.

Filler dashes

Turn on Fill short lines with dashes and choose the Character and Where: Last line of each paragraph, Every short line or Blank lines only. The dashes run to the margin so nobody can add text afterward.

Closing formula and its language

  1. Turn on Add closing formula and write the Text.
  2. Insert variables with one click: {idioma_origen}, {idioma_destino}, {ciudad}, {dia}, {mes}, {año}, {traductor} and others.
  3. Choose the Sworn formula language: As written in the template (not translated) or Translated to the order’s target language. If you choose to translate it, you still see it as you wrote it in Review: it's translated together with the document.
  4. If you like, turn on Keep it with the last paragraph and Add signature and seal (image).

The name and the city come from the profile of the person who approves the translation (if there's no one, from the assigned person or whoever created the order). If a detail is missing, a blank line is left so you can fill it in by hand.

AI assistant

In the editor, AI assistant opens a chat that adjusts the template live: ask it for “2 cm margins” or “Page numbers 1 of N”. Nothing is saved until you click Save; type “undo” to go back.

Pin, default and delete

  • 📌 Pin: only pinned formats appear when you prepare an order. New templates and copies start out pinned.
  • Set as default: the one that's preselected when you turn on Apply a format. You can also choose it in Settings → Profile → Default format template.
  • Delete asks you to confirm with Delete?. If the format has already been used, it tells you in how many orders; delivered orders don't change.

How to use it in an order

New order · Apply a format

  1. In Upload & Details, turn on Apply a format and choose one. If it's off, the order comes out like the original.
  2. Click Analyze & Continue.
  3. In Review, under Choose format, click the button with the format's name. More in Document delivery options.

If both the original and the template have a header or footer, we ask you which one goes on each page. If the translation takes up more pages than the original, you choose between shrinking the font (never below 85%) or continuing onto more pages.

Choose the format before analyzing: it can't be changed in Review. The order detail shows it under Format template.

You don't need a specific plan, and applying a format doesn't change the credits: you're charged per page, as always.

FAQ

Can I use my own letterhead? Yes. In Header and footer, type the text and upload your logo with the image button. You can also Upload your Word with your letterhead: its header, footer and images are read.

Why don't I get Option 4? Check that you have a pinned format (otherwise Apply a format doesn't appear), that you turned it on when preparing the order and that you click the button with its name in Review.

Does it work for scanned documents? Yes. For a scan you choose between Option 2 and your format's option.
